Make the most of your resources
A film budget turns creative plans into a practical picture of what a production will cost. It helps the team understand what they need, make informed choices and use their resources carefully.
You do not need an accounting background to begin. Organisation, attention to detail and confidence with basic numbers provide a useful starting point.
The role
Budgeting involves identifying, estimating and tracking costs throughout a film’s development, production and release.
Working with the producer and other departments, the person preparing the budget considers the script, shooting schedule, people, equipment and materials required. They update estimates as plans develop and compare actual spending against the agreed budget.
Good budgeting supports creative decisions by showing what is affordable and where adjustments may be needed.
Core skills
- Breaking down a script to identify production requirements.
- Organising costs into clear categories.
- Researching prices and obtaining quotations.
- Calculating quantities, rates and the number of days required.
- Allowing for transport, catering, accessibility and post-production.
- Setting aside a contingency for unexpected costs.
- Recording spending, receipts and outstanding commitments.
- Using spreadsheets to compare planned and actual costs.
- Explaining budget choices clearly to the production team.

Suggested practical workshop: Budget a short film
Work in a small group to plan a three-minute film with two performers, one location and a single filming day.
Identify everything the production needs, including preparation, equipment, costume, props, travel, food, editing and sound. Use supplied example prices to create a simple spreadsheet budget within a fictional spending limit.
Then respond to an unexpected change, such as an extra equipment hire day or a location becoming unavailable. Discuss how you could adjust the plan while protecting the story and supporting the people involved.
What you could take away: A basic short-film budget and experience of balancing creative ideas with available resources.
This is a proposed workshop. Dates, venues and participation arrangements will be announced when confirmed.
